The Dashboard contains two widgets that you can customize to show a snapshot of information from any of the Financial applications. Many of these widgets can be modified in varying ways. Some widgets contain a Refresh button which can be clicked to refresh the information displayed.
This Section Includes:
ØNone
ØReceivable Invoices Outstanding
The Accounts Payable by Due Date widget allows you to select a due date from the drop-down list or view the Total of all dates. Vendors with open invoices due by that date are displayed in the grid with columns for Vendor, Inv. #, and Amount. The number of invoices and total amount are summarized below the grid and a pie chart is also displayed on the right. Click the Refresh button to update the results.
The Bank Balances widget displays the Beginning Balance, Deposits, Withdrawals, Checks, Voids, and Ending amounts for the currently selected bank account. A graph is also shown on the right. Click the Refresh button to update the results. The amounts here do not come from General Ledger. The Beginning Balance amount is equal to the ending balance of the most recent reconciliation of the selected bank account. The Deposits, Voids, Checks, and Withdrawals amounts only reflect outstanding items. The Ending amount is a calculation of the prior fields. You can also select All Bank Accounts to view a grid displaying each Bank Account and Ending Balance. A total ending balance for all bank accounts is also displayed. The Bank Balances widget only displays Bank Accounts that the user has rights to view. If the rights for a user are changed, then click the Refresh button on the widget to update the accounts that are displayed.
The Budget Compared to Actual widget displays two charts: one chart showing Actual for Period and Budget for Period and another for Actual YTD and Budget YTD. These amounts may be consolidated if you are using General Ledger Plus. Click the Select Accounts link to choose to display All Income Accounts or Selected Accounts. If you choose Selected Accounts use the Special Reports Title to choose the special report you want and the Line Description where the accounts you wish to display are assigned. Click the Save link to save your selections. The Export to Excel® icon prompts you to download a .xlsx file of the currently displayed data. Click the Refresh button to update the results.
The Deposit Accounts widget displays a list of all accounts as well as a drop-down list of account types. Select an account type from the list to display only the accounts related to that account type. The grid displays the Name, Inception Date, Account#, and Ending Balance for each listed account. Below the grid the # Accounts and total ending balance are displayed. On the right a pie graph displays the total ending balance for all account types broken down by account type. Hover over the graph to display the ending balance for each account type.
The Fixed Assets Values widget consists of three drop-down lists, a grid, and a pie graph. The first drop-down list allows you to select how you want to view information (e.g., Room, Asset Account). The second drop-down list allows you to filter what displays in the grid based on a subset of the selection in the first drop-down. The third-drop down determines what information is displayed in the pie graph (broken down by the selection in the first drop-down list). For example, selecting Room in the first drop-down list and Cost in the third drop-down list causes the pie graph to display cost broken down by room. The pie graph ignores the second drop-down menu entirely.
There is a drop-down list to choose either a specific insurance type or you can choose the "All Types" option to view all insurance types. The grid and the graph display the Insurance Plan name and the number of employees enrolled.
There is a drop-down list to choose either a specific loan type or you can choose the "All Types" option to view all loan types. The grid and graph display the loan Account #, Name, Last Payment, and Amount Due.
The Main Content Tasks widget contains links to commonly used tasks within the current application.
The My Status widget allows you to select queries you can quickly access from the dashboard.
When the My Status widget is selected as one of your dashboard sections you can click the Select link to access the My Status - Selections area. You can drag items horizontally between the Available Options and Selected Options columns to select which queries you want to display. You can also drag options vertically to re-order the Selected Options column. We recommend you drag items between the columns rather than using the ">>" and "<<" buttons since those buttons move all items.
Click the Save link when finished to return to the My Status page. Your selected queries display. Queries with more information have a View Details icon. Click this icon to see detailed query results. If desired, you can then click the Export to Excel® icon to download a .xlsx file containing the displayed results.
See the Tips for using the Financials tutorial for more information on how to use the My Status widget.
Selecting None displays a very small version of the widget as a place holder with the name "Select Control" displayed in the header. In some cases, you may want to display only one widget because of your screen size or resolution or for any other reason.
The Payroll Distributions widget displays a grid containing all distributions with amount totals within a selected Beginning Date and Ending Date. A pie chart is also displayed on the right. Click the Refresh button to update the results.
The Payroll Scheduled Time Off widget allows you to view and approve time off requests sorted by Home Department. Drop-down lists allow you to select the year and what time off to show: Show Pending, Show Approved, and Show All. Click the Refresh button to refresh the grid. Employees in the grid are displayed with an Approved check box. If this box is checked, the employee has no pending time off. If the Approved box is not checked, there is at least one pending time off request. If you check the Approved box by the employee name, it approves all of their pending time off requests. Click the Expand icon by any Employee to view their time off detail. There are columns for Date, Day, all of the Time Off types, Approved, and then a column that displays the current status of the request for that date. Place a check in the Approved column by any date that you wish to approve.
There is a drop-down list to choose either a specific district or you can choose the "All Districts" option to view all pension plans. The grid and graph display the loan Pension Plan name and Annual Amount.
The Purchasing Management widget displays a grid listing purchase orders matching your selection from a drop-down list. You can select Awaiting my approval next, Awaiting my approval, Unapproved, or Approved purchase orders. If you select Unapproved you can select which approval path from which to view purchase orders in a second drop-down list. Click the Edit icon to view the details of an item in the grid. Encumbrances are shown on the right.
The Quick Links option displays every menu option at one time in columns. The first options displayed are the Modify options where typically you will do your setup for the application. After that, the options are listed in order by Enter, Manage, View, and then Utility options which matches the order on the top menu.
